Migrant Records Clerk

Special Programs Department at District Office

8 hours per day, 216 days per year

Salary Schedule: $20.61 - $22.90 per hour

 

Primary Function To perform record-keeping tasks and manage forms/information for migrant student records. The clerk will be required to process all Migrant Student Information System (MSIS) data and work in conjunction with all levels of district personnel. The Records Clerk is directly responsible to the Migrant Education Program Coordinator.

 

RESPONSIBILITIES:To perform record-keeping tasks and manage forms/information for migrant student records. The clerk will be required to process all Migrant Student Information System (MSIS) data and work in conjunction with all levels of district personnel. The Records Clerk is directly responsible to the Assistant Director of Special Programs. Enroll all eligible migrant students into the MSIS according to state adopted procedures. Locally disseminate educational and health records for migrant students in a timely fashion. Complete all forms and process information required by the MSIS. Maintain updated files. Update educational and health information for migrant students as required. Work with Family Advocates, teachers, instructional assistants, counselors, principals, and other school staff to ensure that all educational data, such as secondary and supportive data, is entered. Withdraw migrant students from MSIS as students leave school. Work with all building secretaries and MEP Recruiters to ensure that eligible migrant children are identified and enrolled in the MSIS. Work with the school nurse to ensure that all appropriate entries on the migrant health record are complete and updated. Work with the MEP Recruiter to ensure that the Certificate of Eligibility (COE) is filled out properly and in a timely manner. Attend all required training sessions provided for the records clerk by the Migrant Education Program. Review MSIS reports on a regular basis for accuracy, and generate reports for analysis as needed.

 

QUALIFICATIONS: Bilingual/biliterate (English/Spanish) required. Possess an AA degree or minimum two years post high school education or applicable job experience. One year post-high school secretarial training including computer training. Experience with record keeping, filing, data management. Ability to work with students, staff and families of diverse linguistic and cultural backgrounds. Must be able to read, write and speak fluently in English and Spanish; bicultural and biliterate. Ability to complete accurate and timely reports. Attention to detail and paperwork. Must have strong technology skills including office applications; databases and spreadsheets. Skill in clerical duties and record keeping. Must be able to work in noisy and crowded environments with frequent interruptions. Must be flexible with job assignment and hours. Work as part of a team. Requires prolonged sitting.Attendance and punctuality are important functions of this position.

 

SCHEDULE:OPEN UNTIL FILLED.

180 - 219 Day Employees - Paid leave benefits include 10 days of sick leave, 2 personal leave days and 11 holidays.

220 - 259 Day Employees - Paid leave benefits include 10 days of sick leave, 3 personal leave days and 11 holidays.

260 Day Employees - Paid leave benefits include 12 days of sick leave, 2 personal leave days, 14 holidays and 12 vacation days.

Tuition reimbursement, 50% up to $450 per year for qualified expenses.

Benefits may be prorated based upon date of hire/hours per day.

 

Immigration Reform and Control Act Requirement:  The recommended applicant, if not a current regular employee, will be required to complete an INS I-9 form and must provide proof of employment eligibility prior to working.

 

Disclosure Statement and Record Check:  Pursuant to Chapter 486, Washington Laws of 1987, the recommended applicant, if not a current regular employee, will be required to complete a disclosure form indicating whether he or she has been convicted of crimes against persons listed in the law. In addition, a background check, based on fingerprints, will be requested from the Washington State Patrol & FBI.  Employment is conditional based upon completion of the record check.
