Role and Team

  • Reporting to the Body Shop Manager or the designated manager, the Body Shop Clerk will perform clerical duties to support the Body Shop Office processes for internal and external customers.  

Responsibilities

  • Act as a primary contact for Body Shop office inquiries for internal and external customers via phone, email, and in person.  Resolve customer needs in a friendly, courteous manner and advise Management of all serious complaints or incidences. 
  • Perform various general clerical duties, maintain files, data, produce reports and correspondence for the supervisor/manager.
  • Post transactions to vehicle accounts according to customer contract requirements, auction procedures and deadlines.
  • Process accounting functions for the Body Shop: validate supply/parts billing, customer invoices and receivables.  
  • Review estimates, identify and order parts considering cost and delivery options.  Maintain parts inventory and distribute parts to Body Shop Technicians within Body Shop and auction storage areas.  
  • Communicate with internal teams within the shop, auction office, and corporate contacts to process customer work order approvals, status updates, and other vehicle information.
  • Ensure all shop area conditions are not a potential threat to employee or customer safety.  Respond to and follow proper procedures on employee or customer accidents, injuries, and loss or damage to any property.  Report all incidents to appropriate leadership immediately.

Qualifications

  • High School diploma or GED preferred
  • Automotive, auction, accounting or clerical experience preferred
  • 1+ years computer experience
  • 1+ years customer service experience
  • Regularly lift/carry up to 10 pounds of automotive parts 
  • Must be 18 years of age and have a valid driver's license that meets the requirements
  • Able to safely drive a variety of make/model/sizes of vehicles

Physical Working Conditions:

This position is subject to both inside and outside environmental working conditions, including temperature changes, outside weather conditions, slightly elevated ambient noise levels, and minor atmospheric conditions affecting skin or respiratory systems, such as fumes, odors and dusts associated with internal and external service station/convenience food and petroleum dispensing operations.
