Provides office services by maintaining office systems, processes, supplies, equipment and facilities; supervising staff.
Duties:
* Accomplishes office services human resource objectives by selecting, orienting, training, assigning, scheduling, coaching, counseling, and disciplining employees; communicating job expectations; planning, monitoring, appraising job contributions; recommending compensation actions; adhering to policies and procedures.
* Meets office services operational standards by contributing information to strategic plans and reviews; implementing production, productivity, quality, and customer-service standards; resolving problems; identifying system improvements.
* Meets office services financial standards by providing annual budget information; monitoring expenditures; identifying variances; implementing corrective actions.
* Maintains office services by organizing office operations and procedures; controlling correspondence; designing filing systems.
* Improves quality results by studying, evaluating, and re-designing processes; implementing changes.
* Improves employee competence by providing educational resources; balancing work requirements with learning opportunities; evaluating the application of learning to changes in work results.
* Maintains office supplies inventory by checking stock to determine inventory levels; anticipating needed supplies and furnishings; evaluating new office products; placing and expediting orders for supplies and furnishings; verifying receipt of supplies and furnishings.
* Ensure operation of office equipment by completing or arranging for preventative maintenance requirements; troubleshooting malfunctions; calling for repairs; maintaining equipment inventory; evaluating and recommending new equipment and techniques.
* Creates and/or revises office systems and procedures by analyzing operating practices, office layout, forms control, internal and external communications; implementing changes.
* Recommends programs, services, and maintenance requirements by studying the changing needs of administrative areas; identifying and anticipating service trends, maintenance requirements and groundskeeping; evaluating and offering options to management.
* Assesses customer satisfaction with services and resolves complaints by designing and implementing satisfaction surveys; analyzing and interpreting results; planning and directing improvement opportunities and follow-up.
* Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
* Accomplishes department and organization mission by completing related results as needed.
