Requisition Summary
The Senior Administrative Assistant is responsible for ensuring that PACCAR's Corporate Accounting department is running efficiently. This position directly supports the Corporate Accounting Controller and works closely with the Corporate Accounting staff, serving as an assistant and office manager in a tight-knit department. This position is unique in that it has high visibility to Operations Controllers and all other divisions worldwide as it is the hub for publishing the monthly global financial statement. Additionally, as this role interfaces frequently with many other PACCAR departments and divisions. The perfect candidate will enjoy working with and learning about PACCAR as a whole enterprise and use that knowledge to serve as a go-to for information for corporate staff at all levels.This role is located at the PACCAR Corporate Office (Bellevue, WA).
Job Functions / Responsibilities
Act as the main point of contact for the Corporate Accounting Controller
Provide office administration support to the Corporate Accounting Executive team including answering calls, perform frequent bank deposits, manage/maintain electronic files, open and distribute regular mail, scan invoices to AP inbox, ordering and maintaining office supplies, department meeting and event planning, and general office management duties
Assist in producing senior management reporting package on a monthly basis. Responsibilities include assignment and tracking of review tasks; proofreading and editing of comments, graphs and financial schedules for formatting and style; and final desktop publishing, printing and binding. Work directly with senior accounting management and corporate accounting team
Maintain Corporate Expense Authority Matrix
Act as Program Administrator for the US Bank One Card program and SAP Concur for Corporate employees
Act as the SAP Business Requestor for Corporate Accounting departments
Assist with assembling annual budgeting package
Perform other administrative duties as assigned to support Corporate Accounting
Qualifications & Skills
Required
Bachelor's degree in Accounting, Business Administration or a related field
Three or more years of relevant experience
Excellent communication skills (verbal and written)
Strong attention to detail and accuracywith ability to see the big picture
Intermediate to advanced PC skills (Word, Excel, Access, PowerPoint, and Adobe Acrobat)
Respect of confidential client and organization information
Professional presence - ability to represent the company capably
An attitude of continuous improvement and proactive, forward-thinking mindset
Ability to foster and maintain strong team/community mindset for the department
Strong organization skills required to manage multiple priorities / projects for on-time delivery
Ability to work with employees andwillingness to support multiple areas of the business at all levels of the organization. Position requires frequent coordination with numerous groups from within and outside the company ranging from staff to vice president levels
Preferred
Familiarity with Business Platforms: Wdesk, SharePoint, SAP Concur, SAP S/4 Hana, and eSign
Administrative assistance experience
Word processing/proofing experience
Prior experience with Concur
