THE ROLE
Under general supervision, maintains fleet records, posts daily entry of fleet information, parts and consumables into the computerized fleet management system, and prepares purchase orders for management approval (including the assignment of business unit codes).
ESSENTIAL RESPONSIBILITIES INCLUDE, AND ARE NOT LIMITED TO:
Maintain fleet records.
Prepare purchase orders for management approval, including the assignment of business unit codes.
Review purchase orders to ensure accuracy and proper payment of invoices.
Act as point of contact with vendors to order and receive goods.
Resolve data errors and escalate other errors to management for comparison against identified critical objectives and tasks.
Purchase parts, materials, and supplies needed to support the daily shop operations.
Conduct inventory and cycle counts, and stocks parts shelves as necessary.
Receive goods delivered from vendors, scan invoices and packing slips.
Pick-up parts as needed.
Work closely with managerial staff like the maintenance supervisor, facility manager, and maintenance manager to draw up and execute the organization's annual maintenance plan.
Communicate directly with service providers, vendors, and maintenance contractors to schedule repairs, servicing, preventive maintenance, and other projects required to keep the company's physical assets running smoothly.
Assist with developing a comprehensive maintenance budget and sometimes handle payments for maintenance services and necessary equipment and supplies.
Oversee inventory management and facility management.
Provide a wide variety of administrative assistance to managers, especially in the areas of managing work orders and tenant communication.
QUALIFICATIONS
Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is:
Two years of customer service and clerical experience.
Previous experience with fleet management systems and knowledge of parts preferred.
Knowledge of computer programs, including Microsoft Office suite of applications, fleet management systems, parts, materials and supplies used in shop operations and inventory control.
Ability to use computers and technology capabilities.
Proficiency in purchase orders, inventory control, etc.
Communicate well both verbally and in writing; listen to and understand various viewpoints; share relevant information timely; provide constructive feedback; maintain professionalism.
Valid class C drivers' license.
High school diploma or GED required.
Bachelor's degree preferred.
